Who this policy covers
This policy explains how Valid N Research LLC handles personal information about website visitors, prospective clients, client contacts, suppliers and other people who communicate with us about our business.
Valid N is responsible for deciding how this information is used. Privacy laws often call this role the “controller.” If you are taking part in a survey, interview or other research activity, read the respondent privacy notice and the information provided for that study.

Information we receive
When you contact us
We receive the details you send, such as your name, work email, company, role and any phone number you choose to provide. A feasibility brief can include the audience, markets, participant count, interview length, expected qualification rate, quotas and timing. We also receive correspondence, proposals and documents exchanged while planning or delivering a project.
When you work with us
Business records can include contract contacts, billing details, invoices, payment status and records of approvals or support requests. Colleagues, clients or suppliers may give us your details so that we can work with you on their project. We may also refer to public business information, such as a company website or professional profile, to understand an inquiry or check its authenticity.
When you use the website
Technical information can include your IP address, browser and device details, pages requested, referring page, request times and error records. Some of this information is handled by the providers that deliver the website. See Website technology and your choices for more detail.
Please keep initial briefs free of identifiable respondent records, government ID numbers, payment card details and sensitive information about individuals. If a project needs sensitive participant information, agree how it will be handled before sending it.
How we use it
We use business contact and project information to answer inquiries, check feasibility, prepare proposals, deliver agreed services, manage supplier relationships, issue invoices and resolve questions. Technical information helps us deliver the site, investigate errors and protect it from misuse.
We may also use contact details for relevant business communications about our services where the applicable rules permit this. You can ask us to stop promotional messages at any time by replying to the message or using its unsubscribe option. Necessary project, billing and privacy correspondence may continue.

You do not have to send us a brief or contact details. If information needed to answer a request, invoice you or deliver a project is missing, we may be unable to do that work. We will explain what is needed in the relevant form or correspondence.
Who receives information
We disclose information where it is needed for the purposes described here. Depending on the relationship, recipients can include:
- Business service providers: companies that provide website hosting, email, file storage, administration, accounting or related support.
- Research and supply partners: organizations helping us assess or deliver a brief. We aim to use the audience specification without personal contact details when those details are unnecessary.
- Your organization and project contacts: people involved in the work, approvals or billing.
- Professional advisers and public authorities: where needed for advice, compliance, a lawful request or a legal claim.
- Parties to a business transaction: where a proposed or completed acquisition, merger or transfer requires relevant records to be reviewed or transferred, subject to applicable confidentiality and privacy requirements.
A provider acting on our instructions is different from an organization that decides its own uses of the information. Where another organization acts independently, its privacy notice also applies. You can ask us about the recipients relevant to your information.
Website technology and your choices
Loading a page involves sending connection details to the website host. These pages also load typefaces from Google Fonts. When your browser requests those files, Google receives your IP address and information about the request. This happens separately from sending us a message or brief.
The feasibility form keeps your entries on the open page while you prepare the request. It does not save a draft to your browser's local storage. The details reach us when you press the button to send the request. Your browser or email provider may retain information according to its own settings and policies.
Cookies and similar technologies can store information on a device or read information from it. If we use optional technologies that require consent, we must provide the relevant information and obtain that consent before using them. Merely visiting the site or reading this policy is not consent.
You can clear or block cookies and other site data in your browser. Blocking a technology needed for a feature may affect how that feature works. Privacy choices available on a research platform or an external website are managed by that operator.
Where information is handled
Valid N operates in the United States. Information may be handled there and in other countries where the research client, panel provider or service providers operate. Privacy laws differ between countries.
When a transfer is subject to restrictions under applicable privacy law, a permitted transfer mechanism is required. Depending on the destination and arrangement, this can be an adequacy decision or approved contractual safeguards. This notice does not provide consent to an international transfer. Contact privacy@validnresearch.com for the countries involved in your information and details of the transfer mechanism, including how to obtain a copy of any applicable safeguards.
How long we keep information
We base retention on the purpose of the record and the obligations that apply to it. The following criteria guide how long information is needed:

| Website and security records | The period needed to operate the service, investigate a specific problem or detect and address misuse. |
| Privacy requests, consent and communication preferences | The need to demonstrate how a request or choice was handled. A limited suppression record may be needed to avoid contacting someone who has opted out. |
A legal hold or unresolved dispute can require a relevant record to be kept longer. Once information is no longer needed, we delete it or make it anonymous so that a person is no longer reasonably identifiable. Simply removing a name is not always enough. Contact us if you need retention information for a particular record.
Your privacy rights
Your rights depend on the law that applies to you and to the information. They can include the right to:
- Find out whether we hold personal information about you, access it and receive a copy.
- Correct inaccurate information or ask for deletion.
- Restrict certain uses or object to processing based on legitimate interests.
- Receive eligible information in a portable format.
- Withdraw consent for future processing that relies on it, without changing the lawfulness of earlier processing.
- Opt out of a sale of personal information, sharing for advertising across businesses, targeted advertising or certain profiling, where the relevant law gives you that right.
- Limit certain uses of sensitive personal information where that right applies.
Email privacy@validnresearch.com to make a request. We will not penalize you for exercising a privacy right. Some requests have legal exceptions, for example where records are needed to meet a legal obligation or resolve a claim.
Tell us which email address or business relationship your request concerns. You do not need to create an account. Please do not attach a password, government ID or other sensitive document to your initial request.
For requests that require identity verification, we will ask only for information reasonably needed to confirm the request and locate the records. An authorized agent may contact us with evidence of their authority where applicable law allows. We will respond within the deadline that applies to your request and explain any permitted extension or reason we cannot fulfill it.
If applicable law gives you a right to appeal a refusal, reply to our decision or email privacy@validnresearch.com with the subject “Privacy request appeal.” You may also complain directly to the relevant privacy regulator. In the UK this is the Information Commissioner's Office; in the EEA it is your national data protection authority. You do not have to contact us before making a complaint.
Protecting information
We use administrative, technical and organizational measures intended to reduce the risk of unauthorized access, loss or misuse. We limit access to people who need the information for their work. No website, email service or storage system can eliminate every risk.
If a security incident triggers a legal duty to notify you or a regulator, we will provide the required notice. Please avoid sending sensitive documents in an initial email; ask us how to provide them first.
Children
This business website is intended for adults aged 18 or over. We do not knowingly collect children's information through its inquiry forms. If you believe a child has provided information, contact privacy@validnresearch.com. We will investigate and take appropriate steps to remove information collected contrary to this policy, subject to any legal requirement to retain it.
Changes to this policy
We will revise this policy when our practices or relevant requirements change and update the date shown at the top. If a change requires additional notice or consent, we will provide that notice or ask for consent before making the relevant change.
